Directors Too Busy to Leave the Office? The Notary Comes to Them
Booking a notary at the office in Singapore saves more than a taxi ride. When three directors and a company secretary must all line up at a law firm's counter, a simple signing can slip by days. With our on-site notary service, the Notary comes to your meeting room at a time that suits your team, and the paperwork moves on the same day.
Company teams usually call us in when:
- a director has to sign a company power of attorney appointing a representative in Thailand and can't spare half a day
- an overseas bank wants a board resolution notarised before it opens an account for a subsidiary
- a law firm needs a client's declaration witnessed at its own office, not across town
- an HR or relocation team has several employees' documents to certify in one sitting
- a founder is signing distribution or agency documents for a partner abroad
These are real patterns from enquiries we've received, with names removed. The same Notary also carries out home visits across Singapore, so a director who is working from home that day can sign there instead.
Three Directors, One Visit: Multi-Signatory Signings Without the Scheduling Headache
- 1Send the document and the list of signers. A phone photo or PDF on WhatsApp or email is enough. Tell us the destination country and who is signing.
- 2We check it before you book a room. We confirm the document can be notarised as drafted, list what each signer must bring, and send one quote covering every step.
- 3The Notary attends your office. Each signer shows original ID and signs in front of the Notary. Where several people sign the same document, one notarial certificate can often cover all of them, which keeps statutory fees lower.
- 4We take it from there. If you want, we carry the signed document to SAL, arrange any embassy step and courier it to the recipient.
Every signer has to be physically present and sign in front of the Notary. Nobody can sign for an absent director, and video signing is not available for notaries in Singapore. If one director is overseas, they will need to sign before a notary where they are, or at a second visit when they are back. Tell us early and we'll plan around it.
Allow roughly 15 to 30 minutes per document, plus a little more for each extra signer. Please don't sign anything beforehand, and don't leave blank spaces in the document.
Will the Notary Accept Your Signatory? What We Check Before Anyone Signs
A notarised company document is only useful abroad if the right person signed it. So before the visit, we ask for proof of each signatory's identity and authority.
Identity (every signer)
- original passport, or NRIC or FIN card, showing the same name as the document
- if a name differs between ID and document, tell us before the visit
Authority (company signers)
- a recent ACRA Business Profile showing the director or officer
- the board resolution authorising this person to sign this document, where the recipient or the document asks for one
- the company constitution, if your signing rule depends on it
- for someone signing as an attorney, the power of attorney that appoints them
The Notary confirms identity and signing capacity, not whether the commercial terms are fair; that stays with your lawyers. Likewise, SAL's Apostille certifies the Notary's signature and capacity, not the content of your document.
On personal data: in line with PDPC guidance, we check original ID to verify identity, keep a copy only where the notarial record needs it, and never keep anyone's physical NRIC.
Board Resolutions, Company POAs and Agreements We Witness On-Site
- Company powers of attorney. A director signs to appoint an agent or representative abroad. Read about signing a company POA for an overseas representative, including who can sign.
- Resolutions and company letters. Board and shareholder resolutions, incumbency letters and authorisation letters for banks, tenders and subsidiaries. Our page on notarising company documents for overseas banks and partners covers each one.
- Agreements, deeds and declarations. Distribution and agency agreements, deeds, and personal declarations signed at work. See how witnessing a signature for overseas use works.
Overseas banks often write "notarized" in their instructions. It means the same service.
One honest shortcut: ACRA documents such as a Business Profile or a certificate of incorporation often don't need a notary at all. SAL can legalise them directly if every page shows ACRA's endorsement, QR code, authentication number and date of purchase. SAL also offers an e-Apostille for eligible ACRA Business Profiles and Business Certificates, if the recipient accepts it. We'll tell you when a Notary isn't needed, so you don't pay for one.
Signed Today, Ready for Overseas Use Next: SAL, Embassy and Courier
Since 1 October 2019, every document notarised in Singapore must be authenticated by SAL. Since 16 September 2021, SAL does this by attaching an Apostille. Without it, a notarised document is not valid for use overseas. SAL charges S$87.20 (including GST) per notarial certificate and processes documents on the spot at its counter at The Adelphi, Monday to Friday, 9:00am to 4:30pm. SAL also accepts submission by a proxy, which is us. Here is how the SAL Apostille step works.
What happens next depends on where the document is going.
| Destination | Usual route after signing |
|---|---|
| Apostille Convention countries (e.g. India, China, the Philippines, Indonesia, Saudi Arabia, Japan, Australia, the UK, the USA, most of Europe) | Notary → SAL Apostille → courier |
| Vietnam (a party since 11 September 2026) | Notary → SAL Apostille → courier |
| Thailand (Apostille in force from 28 February 2027) | Until then: Notary → SAL → Royal Thai Embassy in Singapore |
| Malaysia, the UAE, Qatar, Kuwait, Sri Lanka, Myanmar (not parties) | Notary → SAL → that country's embassy or high commission in Singapore |
For countries outside the Apostille Convention, we handle the embassy legalisation step and tell you if the destination adds a step of its own. Embassies set their own timelines, so we won't promise one. Always check the route with the authority receiving your document; we check it with you before booking.
On timing: signing and notarisation happen during the visit. If the visit ends early enough on a weekday, we can often reach SAL's counter the same day; otherwise it's the next working day. Courier time depends on the destination.

The prices shown above are starting prices. Your final price depends on the document type, number of pages and destination country, and will be confirmed in a written quotation before any work begins.
We invoice the company by name and UEN, and can add a purchase order or cost-centre reference. You can pay by PayNow, bank transfer or credit/debit card. The full total is in your quote before the visit, and nothing is added afterwards without asking you first. You can see every statutory and visit fee explained on our fees page.
Your signing is handled by our partner Singapore Notary Public, a senior lawyer appointed to practise as a Notary Public in Singapore. See how we work with our partner Notary Public.
“I had several documents to sign for a business transaction and needed a notary present. The office appointment was arranged at a convenient time and the signing process was clearly explained. Very professional service.”

What Company Secretaries Ask Before Booking an On-Site Notary
Can several directors sign in one visit?
Yes. Several directors or officers can sign during one office visit, as long as each is present with original ID. Where they sign the same document, one notarial certificate can often cover all of them, with a smaller statutory fee for each additional party. Tell us the number of signers when you book, so we allow enough time.
What must directors bring?
Each director needs an original passport or NRIC/FIN card showing the same name as the document. Also bring the unsigned document, a recent ACRA Business Profile and any board resolution authorising the signing. If the overseas recipient sent specific wording or instructions, share them with us beforehand, so the notarial certificate matches what they expect.
Do you check signing authority?
Yes. Before the visit, we compare each signer against the ACRA Business Profile and, where needed, the board resolution or constitution. On the day, the Notary confirms identity and capacity before anyone signs. If a document is missing, we tell you in advance, rather than discovering it in your meeting room with everyone waiting.
Can you invoice our company?
Yes. We invoice the company by name and UEN, and can add your purchase order or cost-centre reference. The invoice separates statutory notary fees, SAL fees and our own visit and handling fees. For regular work, ask us about a business account, so each signing doesn't need a fresh quote.
Can you come outside office hours?
Our visit windows are Monday to Friday, 9 am to 9 pm, and Saturday and Sunday, 10 am to 6 pm. Visits after 6 pm, at weekends or on public holidays add S$40, and that charge appears in your quote before you book, never afterwards.
Is our document kept confidential?
Yes. Your documents are seen only by the people handling your job, and personal data is handled under Singapore's Personal Data Protection Act (PDPA). We keep ID copies only where the notarial record needs them, never keep a physical NRIC, and securely delete working scans within 3 days of completing the job. We can sign a non-disclosure agreement on request.
