Services Carried Out in Singapore Only

Mobile Notary Service is a mobile notary and proxy service that works with a partner Singapore Notary Public. All notarial acts are performed in person, in Singapore, by that Notary Public. Proxy, SAL, embassy, translation and courier steps are handled from Singapore. We don't provide notary services outside Singapore, and signing by video call is not offered.

What the Notary Can and Can't Do

  • The Notary Public alone decides whether a notarial act can be performed. Every signer must attend in person with valid original identification, have the mental capacity to sign, and understand the document. The Notary may decline or stop an appointment if these conditions are not met.
  • The Notary certifies signatures, copies, oaths and declarations. Neither the Notary nor Mobile Notary Service advises on whether the content of your document is legally correct or suitable for your purpose, unless separately engaged to do so in writing.
  • A proxy can carry, submit and collect documents for you. A proxy can never sign or swear for you.

Your Responsibilities as the Client

  • Give us complete and accurate information, including the document's purpose and the receiving country or authority.
  • Provide genuine documents. We will not act on a document we reasonably believe to be false, altered or used for an unlawful purpose.
  • Check names, dates and spellings on any draft or translation we send before you approve it.
  • Make sure every signer is present, with valid ID, at the agreed time and place.

Starting Prices, Written Quotations and Payment

  • Prices on our website are starting prices. Your final price depends on the document type, number of pages and destination country, and is confirmed in a written quotation before any work begins.
  • Statutory notary fees are fixed by law. SAL, embassy, government, translation and overseas courier fees are set by those third parties and are charged at cost.
  • We accept PayNow, bank transfer and credit/debit card. Unless your quotation says otherwise, payment is due before the visit or before we submit documents to SAL or an embassy.
  • Urgent same-day requests must be confirmed and paid by 11:00 AM on a working day. Same-day completion depends on the Notary's availability and on SAL or embassy opening hours, and is not guaranteed for third-party steps.

Cancellations and Rescheduling

  • More than 24 hours before the visit: you may cancel or reschedule free of charge.
  • Less than 24 hours before the visit: you may reschedule once at no charge, subject to availability. A cancellation within 24 hours is charged the visit fee.
  • No-show or failed visit: if the signer is absent, cannot produce valid ID, or the visit cannot proceed for reasons within your control, the visit fee is charged. A new visit is charged as a new booking.
  • After work has started: once documents have been submitted to SAL, an embassy, a translator or a courier, the job cannot be cancelled, and fees already paid to those parties cannot be recovered.
  • If we or the Notary must cancel a visit, we will offer the earliest available alternative at no extra cost.

No Refunds, and Free Reissue If We Got It Wrong

Our fees pay for work that is performed and completed. Fees are not refundable once the service has been delivered, including where the receiving authority later declines a document for reasons outside our control.

If a document we prepared or processed contains an error made by us, or needs to be redone because of our mistake, we will correct or reissue it free of charge. Any SAL, embassy or courier fees for the reissue are paid by us where the error was ours. Please tell us within 14 days of delivery.

Acceptance Abroad Is Decided by the Receiving Authority

We check requirements carefully and tell you what we find, but the foreign authority, bank, court, university or employer receiving your document decides whether it accepts it. We can't guarantee acceptance, and we are not responsible for changes in a receiving authority's requirements.

Timeframes we give (for example, 1–2 working days for an SAL Apostille, or 5–10 working days for embassy legalisation) are estimates. SAL, embassies, couriers and other third parties work to their own timelines, and we are not responsible for their delays.

Your Documents in Our Care and in Transit

  • We take reasonable care of your original documents while they are in our custody and give you a signed receipt when we receive them.
  • Documents sent by courier are carried under the courier's own terms and liability limits. Courier delivery dates are not guaranteed.
  • If you would like a document insured for its declared value, please ask before dispatch. We will arrange declared-value cover through the courier where it is available, at cost to you. Without declared-value cover, any claim for loss in transit is limited to the amount the courier pays out.
  • Where an original is lost or damaged while in our own custody through our negligence, we will pay the reasonable cost of obtaining a replacement document and of redoing our service.

Limitation of Liability

  • Our total liability to you for any claim arising from a service is limited to the fees you paid to Mobile Notary Service for that service, excluding statutory notary fees, government, SAL, embassy, translation and courier fees.
  • We are not liable for any indirect or consequential loss, including loss of a transaction, business, profit, opportunity, travel, visa, admission or deadline, however caused.
  • We are not liable for losses caused by inaccurate information or documents you provided, by a receiving authority's decision, or by the acts or delays of third parties.
  • Nothing in these terms excludes or limits any liability that cannot be excluded or limited under Singapore law, including liability for death or personal injury caused by negligence, or for fraud.

Events Outside Our Control

We are not responsible for any delay or failure caused by events beyond our reasonable control, such as public holidays, closures of SAL or embassies, system outages, severe weather, public health measures, strikes or courier disruption. We will tell you as soon as we can and work with you on the next step.

Governing Law and General Terms

  • These terms are governed by the laws of Singapore, and the courts of Singapore have exclusive jurisdiction over any dispute.
  • If any part of these terms is found to be invalid or unenforceable, the rest remains in force.
  • These terms and your written quotation are the whole agreement between us. If they conflict, your written quotation prevails.
  • We may update these terms from time to time. The version on this page when you confirm your quotation applies to your job.
