What Personal Data We Collect When You Enquire or Book
- Contact details: your name, phone or WhatsApp number, email address and, for visits, your Singapore address or postal code.
- Document details: the type of document, the country or authority that will receive it, deadlines, and photos or scans you choose to send us for a quote.
- Identity documents: the Notary Public must check the original passport or NRIC of every signer. We only collect NRIC numbers or copies where the law requires it or where identity must be verified to a high degree of fidelity, in line with the PDPC's Advisory Guidelines on NRIC numbers. We never keep your physical NRIC.
- Payment details: the information needed to issue an invoice and confirm payment. Card payments are processed by the payment provider; we do not store full card numbers.
- Website data: if analytics is switched on, anonymous usage data such as pages visited and buttons clicked, collected through cookies.
Why We Use Your Data
- to answer your enquiry and send you a written quotation
- to arrange the Notary's visit
- to carry out the notarial act and the steps you ask us to handle (Singapore Academy of Law, embassy, translation, courier)
- to issue invoices and keep the records required by law
- to improve our website and services, using anonymous analytics
By sending us an enquiry or booking a service, you consent to this use. We don't sell your personal data, we don't use your documents for anything other than your job, and we don't send you marketing messages unless you ask for them.
How Long We Keep Your Documents and Data: 3 Days
We keep your document copies and the personal data connected with your job for 3 days after the service is delivered, so we can deal with any immediate follow-up or reissue. After that, they are deleted from our devices and messaging records, and any paper copies are shredded.
The only exceptions are records we must keep by law: the Notary Public's own notarial records, and the invoices and accounting records required under Singapore tax law. These are kept securely, only for as long as the law requires, and are not used for any other purpose.
You can ask us to delete your enquiry data earlier at any time, subject to those legal duties.
How We Protect What You Send Us
- Originals are logged with a signed receipt when we receive them, kept in locked storage while in our care, and returned by hand or tracked courier.
- Digital files are stored with access limited to the people handling your job, on password-protected devices.
- For company work, we can sign a non-disclosure agreement on request.
No method of transmission or storage is completely secure, but we take reasonable security arrangements to protect your personal data, as the PDPA requires.
Your Rights: Access, Correction and Withdrawing Consent
You can ask to access or correct the personal data we hold about you, or withdraw your consent for its use. If you withdraw consent, we may not be able to complete a job already in progress, and we'll tell you what that means before acting on it.
To make a request or raise a concern about your personal data, email info@mobilenotaryservice.sg with "Data protection" in the subject line, or call +65 3129 4104. We'll reply within a reasonable time, as the PDPA requires. If you are not satisfied with our reply, you may contact the Personal Data Protection Commission (PDPC).
