Notary Proxy Services in Singapore: We Handle Every Step for You

A notary proxy service in Singapore handles the running around for you. We check your document, book the Singapore Notary Public, submit it to the Singapore Academy of Law (SAL) for the Apostille, arrange embassy legalisation if needed, and courier it to you. A proxy can never sign or swear for you; that part is always yours.

Ask a question or send a photo of your document on WhatsApp. We'll tell you which steps it needs, and which ones you can skip.

No Time for SAL and Embassy Runs? We Do the Legwork for You

Getting a document ready for overseas use often means three stops: a Notary Public's office, the SAL counter at The Adelphi, and sometimes an embassy, all during working hours. As your document legalisation agent, we take those trips off your hands. You deal with one team on WhatsApp; we deal with the counters.

People hand their paperwork to us when:

  • they work six days a week, and SAL's counter is open only Monday to Friday, 9:00am to 4:30pm
  • they have moved abroad and the document is still in Singapore
  • a company needs the same set of documents notarised, apostilled and sent to several countries
  • an ICA application is waiting on a notarised translation and they can't take leave

"Proxy" is SAL's own word. SAL lets you appoint a proxy to complete legalisation on your behalf, and no authorisation letter is needed. If you live overseas, read how we handle Singapore documents for clients living abroad.

Every Step We Take on Your Behalf, From Notary to Your Doorstep

We skip any step your document doesn't need.

  1. 1Check. We read your document and the receiving authority's instructions, then confirm the route: Notary, direct SAL legalisation, Apostille, embassy.
  2. 2Receive. We collect the document from your address in Singapore (local courier from S$15), or you send it to us by courier.
  3. 3Notarise. We book the Singapore Notary Public. If you have to sign, the Notary sees you in person (see the next section).
  4. 4SAL. We pay SAL online, as SAL requires, and submit at the counter. SAL processes documents on the spot and hands them straight back.
  5. 5Embassy, if needed. For countries outside the Apostille Convention, we lodge the document with that country's embassy or high commission in Singapore.
  6. 6Translation, if needed. We arrange translations that come notarised and apostilled when the recipient asks for one.
  7. 7Deliver. By hand, local courier or tracked international courier.

Not sure what the Apostille adds? Here is what an SAL Apostille certifies.

One honest point before you pay anyone. Many Singapore government-issued documents don't need a Notary at all. SAL can usually legalise them directly: ICA birth and death certificates, ROM and ROMM marriage certificates, court documents, ACRA documents, and original, verifiable certificates from NUS, NTU, SMU, SIT, SUSS, SUTD, the polytechnics and ITE. You can take these to SAL yourself. If you'd rather not, we submit them as your proxy, check eligibility first, print digital certificates exactly as SAL requires, test the QR code, and spot problems such as laminated certificates, which SAL can't apostille. Foreign documents, private documents, copies, signatures and declarations still need a Notary first.

The One Thing Only You Can Do: Sign (and How We Make It Easy)

A proxy can carry, submit, collect and deliver. A proxy can never sign, swear or declare for you. If your document is a power of attorney, a statutory declaration, an affidavit or anything else you sign, you must appear in person before the Notary with your original ID. Remote or video notarisation is not in force for notaries in Singapore, so there is no online shortcut.

Searching for someone to "notarize my document for me"? Signing is the one step nobody can take for you. What we can do is make that one appearance painless. The Notary can come to your home anywhere in Singapore or to your office for a short appointment. After you sign, the rest is ours.

Handling a parent's or spouse's documents? You can send, track and pay for them, but the person named must sign themselves. The Notary checks that each signer understands the document, which protects the whole family.

Worried About Handing Over Your Originals? How We Keep Them Safe

  • Logged on arrival. We photograph what we receive and confirm it to you on WhatsApp the same day.
  • Kept secure. Documents are stored securely and handled only by the people working on your job in locked storage.
  • Short time at counters. SAL processes documents over the counter and doesn't keep them for later collection, so your original doesn't sit in a queue.
  • Tracked delivery. Every courier shipment has a tracking number, sent to you on dispatch. Declared-value insurance can be added on request.
  • Personal data. ID is handled under Singapore's Personal Data Protection Act (PDPA). We never keep a physical NRIC, and working scans are securely deleted within 3 days of completing the job.

A practical tip: never laminate a certificate you may need abroad. SAL cannot put an Apostille on a laminated document, and you would need a duplicate or extract from the issuing agency instead.

Your documents are notarised by our partner Singapore Notary Public, a senior lawyer appointed to practise as a Notary Public in Singapore. See how we work with our partner Notary Public.

“I needed a notarised translation followed by embassy legalisation. At first I thought I would have to arrange each part separately, but they explained the order of the process and helped me understand what was needed at each stage.”

What You Pay Us vs What Goes to Government Fees

You pay two kinds of fees. Government and statutory fees are the same whoever handles your document. Our fees pay for the running around, and we publish them because most providers only quote extras on request.

The prices shown above are starting prices. Your final price depends on the document type, number of pages and destination country, and will be confirmed in a written quotation before any work begins.

A simple example: a Singapore marriage certificate going to Spain goes straight to SAL. You pay SAL's legalisation fee, our proxy fee (from S$39 per document) and the courier, and no notary fee at all. You get one all-in quote before you hand anything over. For worked examples, see how each fee adds up.

Before You Hand Over Your Documents

What can a proxy do for my documents?

A proxy can do everything except sign. We check your document, book the Notary, pay and submit at SAL, lodge it with an embassy if required, arrange translation and courier the finished document to you. SAL itself allows a proxy to complete legalisation on your behalf. You only appear in person if the document needs your signature.

Can a proxy sign on my behalf?

No. A proxy can never sign, swear or declare for you, and neither can a family member unless they hold a valid legal authority. The person named in the document must sign in front of the Notary with original ID. To make that easy, the Notary can come to your home or office in Singapore.

Does SAL accept a proxy?

Yes. SAL states that you may appoint a proxy to complete the legalisation process on your behalf, and that no authorisation letter is needed. SAL processes documents on the spot at its counter at The Adelphi, Monday to Friday, 9:00am to 4:30pm. Payment is made online by Visa or Mastercard, not in cash.

How will I know where my document is?

You get a WhatsApp or email update at every stage: received, notarised, apostilled at SAL, at the embassy if needed, out for delivery and delivered. When it is couriered, we send you the tracking number. One contact person handles your file, so you never have to explain your case twice.

Can you courier the finished document overseas?

Yes. We send finished documents by tracked international courier, and the cost is included in your quote before you commit. On request, we send scans of the finished pages first. Most receiving authorities want the original, so the scan shows it is ready but doesn't replace the paper.

How do you keep my originals safe?

We log what we receive with photos, confirm it to you, store documents securely and release them only to SAL, the embassy or the courier. SAL returns documents over the counter the same visit. Every shipment is tracked. We never keep a physical NRIC, and working scans are deleted within 3 days of completion.
